ROVER Release 11: Requesting a RAV correction from Infra, Transport, Regional, Comms, Sport & Arts on YouTube.

Transcript

Today, I will be taking you through changes to the Register of Approved Vehicles (RAV) corrections process that are being implemented in June 2026 as part of ROVER Release 11.

This updated RAV corrections process will provide a simpler, more streamlined user experience. The updated approach removes the need for different correction pathways based on field type (key versus non‑key fields) and eliminates the current two‑step process to unlock and then amend RAV entries.

Corrections will be made through a consistent process that applies the same validation rules used during RAV submission. This ensures data accuracy is maximised and prevents updates to fields that have not been approved for correction. These changes will also make it easier for you to track your RAV correction record requests via a dedicated landing page.

This demonstration covers:

  • New Register of Approved Vehicles (RAV Corrections) landing page
  • Completing and submitting a RAV correction request form
  • The new RAV Correction CSV bulk upload template
  • Viewing the status of your request.

We’ll get started by going to the new RAV corrections landing page. The RAV corrections landing page lets you request RAV corrections and track their status in one place. To get there, login to ROVER and navigate to the RAV page via the RAV icon in the menu. Then, select the blue ‘RAV correction’ button at the top left of your screen. This will take you to the new RAV corrections landing page.

From here, you can notify the department of an error on the RAV. You can also view your correction requests in the following tables. The first one RAV correction requests – shows your current requests and their status, including:

  • Reference
  • Submitted on (date)
  • Status, and
  • Submitted by.

RAV correction request – detailed information table expands on the details of your correction, including:

  • Reference
  • Submitted on (date)
  • Status
  • Approval holder
  • VIN, and
  • Approval number

RAV Correction Item – Errors. You can view your RAV correction request errors – this table shows the:

  • RAV Correction Reference
  • VIN
  • Approval Number
  • Entry Pathway
  • Error Message.

Please note that these tables only show correction requests you have submitted. You can filter and export information from all of them. Next, I’ll show you how to complete and submit a RAV correction request form.

We’ll start back on the ‘RAV Corrections’ landing page and select the ‘Notify of an error on the RAV button at the top left. This opens the ‘Notify of an error on the RAV’ corrections form. It looks similar to the current form but includes some important updates that I will run through now. Once you have identified if you (or someone you represent) is responsible for the correction the next question will provide two options of either ‘provide details on this form’ or ‘upload a bulk RAV amendment using the new bulk RAV amendment template’.

I will take you through now the ‘Provide details on this form’. Once selected - this opens the table titled ‘Please list all RAV errors below’. Select the blue ‘Add’ button at the top right of the table and a form will open. The form is titled ‘Search RAV entry’. Here you’ll search for the RAV entry you want to correct. You’ll need to enter:

  • Approval number
  • VIN, and
  • Entry pathway.

To find the approval number and entry pathway, you may need to search the public RAV site using the vehicle’s VIN. The details you enter in all 3 fields must exactly match what is currently shown on the RAV for that vehicle. When you’ve entered the details, select the blue ‘Search’ button. After you select ‘Search’, the current RAV details will appear for you to review. Scroll down to view the full record.

If this is the record you want to change, select the blue ‘Edit’ button at the bottom right of the Search RAV Entry form. The RAV entry form will open with editable fields that are pre-filled with the current RAV information. Work through the form and update the fields you need to change. You’ll see validation messages as you go, to help you correct any issues before you submit. When you’ve finished your updates, select the blue ‘Update’ button at the bottom right of the form.

Your completed entry will be added to the table under ‘Please list all RAV errors below’. You can repeat this process to add another RAV entry to your correction request. Once you’ve added all the records you need, you can attach supporting documents or provide details in the free‑text field. Please note you cannot request any RAV changes in the free-text field, all requests must be via the form or bulk csv upload. When you’re ready, tick the acknowledgement and select the blue ‘Submit’ button in the bottom right. You’ll then return to the RAV Corrections landing page, where you can check the status of your correction and see any additional validation messages.

Next, we’ll cover how to use the new RAV Correction CSV bulk upload template. We’re back in the ‘Notify of an error on the RAV’ correction form, but this time, we’re going to choose the option– ‘Upload using a bulk amendment template’.  If you are trying to notify the department about multiple RAV entries containing errors, this is where you can upload a CSV file with multiple records in a single submission. Once you have selected ‘Upload using bulk amendment template’, A table will appear under the heading “Please upload your completed template to notify of errors affecting multiple RAV entries here.”
Before you start your bulk template upload, you will need to have completed your RAV correction spreadsheet. It should include all RAV entries that need a correction. This will make it quicker and helps avoid mistakes when you fill in the CSV template. Here is an example of a completed spreadsheet.

Using the CSV template lets you add vehicle information in bulk instead of finding and editing each one by one. The new template combines the previous key and non‑key field templates into one file, which simplifies the process.

The fields in the CSV template match the current RAV submission file. There are also 3 extra fields at the end (columns Y, Z and AA) labelled:

  • Updated VIN
  • Updated Entry Pathway, and
  • Updated Approval Number.

If you are trying to correct an error in VIN, Entry Pathway or Approval number fields, you should enter the data as it currently appears on the RAV in columns A, B and Q and enter the updated: VIN, Entry Pathway or Approval Number in columns Y, Z and AA. When your file is ready and all required fields have been updated, upload the completed csv template using the blue ‘Upload’ button.  Then complete the rest of the form the same way we showed when selecting option 1 and submit your bulk correction. Now we’ll show you how to view the status of your request.

RAV corrections use the same validation checks as RAV submissions. After you submit a request, system validations run and the status will update as the request progresses. To see any error messages, go to the RAV corrections landing page and check the ‘RAV correction requests’ table. I’ll now step through the main status messages and show you how to view any errors. Going back to the table, select the action menu to the right of the record and choose ‘Item details’.

This is a pop-up of an ‘Invalid file’ message.  If the request fails with an ‘Invalid file’ message, the issue is with the bulk upload file—for example, missing information, incorrect formatting, or invalid column headings. You will need to fix the file and upload it again.

This is a pop-up of an ‘Invalid items table. You’ll see the table listing the invalid records, including the:

  • VIN
  • RAV entry pathway
  • approval number and
  • an error count.

To view the details, open the action menu and select ‘View errors’.

You will see another pop up listing the Item Errors - after you’ve reviewed the errors, correct them and resubmit the record. There is another way to also view your errors if there are multiple records and you have submitted a bulk upload of corrections. Again, on your RAV Corrections Landing page scroll down to the RAV Correction Items Errors table – here you can filter based on the RAV Correction reference, VIN or Approval and view your error messages as well as download an error report. I will now go through the various statuses you will see in your RAV correction landing page.

  • Received - means your request has been submitted and system checks are in progress.
  • Under assessment - means your request has passed system checks and is being reviewed.
  • Invalid - means your request didn’t pass system checks. Review the error reasons.
  • Decision made – means the request has been finalised. You’ll receive an email with the decision notice.

That concludes the demonstration of changes to the RAV corrections process being introduced in ROVER Release 11.
